Overview

The Sarasota Ballet School is looking for an enthusiastic, highly organized, and initiative-taking individual to join our team as School Administrative Assistant. This is an administrative role in our School. Knowledge of the field is a significant asset and proficiency in Microsoft programs and Google Suite are required. The hours of work will be Tuesday to Friday, either 11 a.m.- 7 p.m. or 12 p.m. – 8 p.m. and Saturday 8:30 a.m. – 4:30 p.m.  A flexible schedule is necessary as working hours may change.  ***Working hours may be negotiable and there is a possibility for 2 part time people to share this role.

Duties:

Function as first point of contact for parents and families ensuring a welcoming and inclusive environment.
Communicate with families and students, maintaining positive relations with all constituents.
Promptly answer any questions and inquiries received.
Prepare, schedule, and follow up on all trial/placement classes.
Assist with registration and enrollment of new students as well as withdrawals of any students leaving the program.
Facilitate all billing by ensuring discounts, financial aid and special arrangements are accounted for as well as communicating and resolving any billing issues in a timely manner.
Updating and tracking financials on a rolling basis.
Attend meetings as scheduled regarding upcoming events, projects, and duties.
Prepare and send out mass communication emails using a mail platform.
Assist in preparations for any school performances including The Nutcracker.
Represent The Sarasota Ballet at school events.
Assist in managing the school’s downtown location and communicate any facility issues with the Facilities Coordinator.
Assist with The Sarasota Ballet’s annual Summer Intensive program.
Other duties as assigned.

Qualifications:

Relevant administrative experience at an educational or performing arts organization.
Enthusiastic and positive approach to work; strong work ethic.
Strong written and verbal skills.
Conflict resolution skills
Strong organizational skills with a keen eye for detail.
Ability to thrive and adapt to change easily
Ability to work independently and part of a team.
Ability to maintain professionalism in all situations.
Demonstrable experience in both Microsoft Office products and Google Suite.
Must be able to pass a background check.
Must be able to legally work in the United States.
Must be fully vaccinated against COVID-19 or obtain an approved exemption.

Desired Qualifications:

A degree in Arts Administration or Business Administration or a related field.
Strong knowledge in finance.
Knowledge of Jackrabbit Dance, Tessitura and/or Mindbody a plus.
Background and interest in dance/performing arts a plus.
