Position Overview:
The Business Office Manager at TTD is responsible for overseeing administrative operations, managing finances, and ensuring a smooth customer experience for students and parents. This role supports the studio’s daily functions, coordinates class schedules, handles payments, and ensures effective communication between staff, instructors, and clients. The Business Office Manager is essential in maintaining the studio’s financial health and operational efficiency.
Key Responsibilities
- Office Operations & Administration: Manage the day-to-day operations of the dance studio’s front office, including scheduling classes, maintaining the studio calendar, answering inquiries, and handling studio correspondence. Ensure that the office runs smoothly and efficiently.
- Client Relations & Customer Service: Serve as the primary point of contact for parents, students, and prospective clients. Respond to inquiries, resolve issues, and provide detailed information about classes, programs, and events. Ensure a welcoming and professional environment.
- Class & Studio Scheduling: Coordinate and manage class schedules, studio space usage, and instructor availability. Work closely with instructors to accommodate new classes or special events, ensuring that the schedule is organized and up-to-date.
- Financial Management & Bookkeeping: Oversee posting and collection of tuition payments, class registration, and all other studio and team fees. Manage accounts payable/receivable, track studio expenses, and handle all vendor payments.
- Staff Supervision & HR Support: Assist in recruiting and onboarding of new instructors. Ensure proper training and that all staff understand the process and procedures. Handle basic HR tasks, such as maintaining employee records and processing payroll.
- Event & Recital Coordination: Assist in the planning and execution of studio events, including recitals, showcases, and workshops. Manage logistics, communicate with parents, and ensure that all event-related tasks are completed on time. [prepare recital packets, ensure sizing is completed, submit costume orders, manage volunteer signups, and recital set up]
- Marketing & Enrollment Support: Support marketing efforts, such as promoting classes, recitals, and events on social media platforms and email. Assist in the management of social media accounts, email campaigns, and community outreach efforts to boost enrollment and engagement.
- Policy Enforcement & Studio Guidelines: Implement and enforce studio policies regarding class registration, payments, and cancellations. Ensure that clients and staff are aware of policies and handle any policy-related issues. Ensure first aid kit stays stocked and monitor lobby and studio activity during class times to ensure proper safety is being followed.
- Vendor & Inventory Management: Manage relationships with vendors and suppliers, ensuring that the studio is stocked with necessary supplies and equipment. Negotiate contracts and maintain inventory for studio apparel, props, and merchandise.
- Compliance & Safety: Ensure that the studio complies with local regulations regarding safety, health, and building codes. Implement safety protocols, especially related to COVID-19 or other health concerns, and ensure that the studio maintains a safe environment for students and staff.
